What we’re doing
Personal data means any information about a living individual from which that person can be identified (but not data where the identity has been removed, like anonymous data).
For the purpose of collecting insights and resident feedback, we will be using the online engagement platform Smart Survey, to help us engage with individuals in local communities and provide a safe and secure platform for people to have their say. More specifically, we aim to use the platform to help plan the vision for Ebbsfleet Central, identify what is important to communities, and analyse the social impact of the new development. We collect personal data in order to do this and where we do so we are the controller of that personal data.

How we collect information
By filling in the questionnaire, we may collect data from you. When you interact by responding to a question, you can post material by typing a response on your device. If you do include personal data in a response, then you will be consenting for it to be shared publicly.
Data may automatically be collected about your equipment, browsing actions and patterns.
Information we will collect and why
We’re conducting this survey to gather community feedback to help shape the direction of the development of Ebbsfleet Central. The survey will help us better understand your perspectives, ideas, and suggestions to ensure the development best meets the needs of local communities.

Special category (i.e. sensitive) data may be collected via a survey.
The types of special category data collected vary depending on the nature of the project. The following types of data may be collected:
- Ethnicity: It may help identify how many residents have been reached in an ethnic group.
- Gender identity: It may be helpful to identify gender identity to monitor diversity of responses.
Please note that special category data is generally anonymised on collection and once it has been anonymised it cannot be linked to you or identify you in any way.
You should be aware that responses you might give to some questions may reveal or concern special category data. You should bear this in mind when responding.
Your right to remain anonymous.
If you contribute to the survey, your feedback and any agreements added by you, are anonymised before being made available publicly to anyone who has an interest in the information. The words of your feedback and your agreements may be used for further analysis or to provide examples of feedback in marketing material.
If you do not want to be identified with material posted by you then you should not include your name or any identifying information in the material posted.

Keeping personal data secure
We have taken all appropriate technical, physical, and organisational security measures to ensure that your data is protected against unauthorised access, use and disclosure, including encryption of special category data at rest. Unfortunately, the exchange of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted; any transmission is at your own risk.
Where we store your personal data
All data will be kept in the UK in a secure data centre by Smart Survey. All data is encrypted both in transmission at rest. More information regarding data storage can be found on Smart Survey’s website: https://www.smartsurvey.co.uk/gdpr.

There may, from time to time, be links to and from the websites of our partner networks, advertisers and affiliates. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility for these third parties.

How long your data will be kept
We will not keep your personal data for longer than needed for the purpose for which it is used. For example, letters and emails that we send to you, or you send to us may be retained as a record of contact and your contact details stored for future use in accordance with our record retention schedule.
We also reserve the right to monitor and record electronic communications (website and email correspondence) for the purposes of record retention.
Email – emails, including those sent through our contact form, may be kept as a record of contact; and
Website – our website does not store or capture personal information of visitors, unless you complete a contact form, but it does log visitors’ IP addresses, and cookies are used across the website. While your use of the website will be logged, you will remain anonymous to us.
How long we keep your information
We will only keep your information for as long as necessary to carry out the purposes for which we collected it. This will depend on the type of information and the types of legal and contractual obligations we must comply with.
We don’t want to keep personal data for longer than is necessary, so when we are deciding how long to keep each category of personal data, we think about the following things: how much data we have, whether it’s sensitive or not, what kind of harm there could be if there were an unauthorised disclosure.
Your Rights
When we process your data, you have the following rights as a data subject (the individual the personal data relates to):

- You may request that EDC restrict processing of your personal data in relation to any service. (This may delay or prevent us delivering a service to you). We will seek to comply with your request but may be required to tore or process information to comply with our legal duties.

- If you find that the information EDC holds about you is no longer accurate, you have the right to have this corrected.
- If the processing of your personal data is based on your consent, you have the right to withdraw your consent at any time. Your withdrawal of consent will not affect the lawfulness for the processing performed before the withdrawal of your consent.
- You have the right to receive the personal data that you have provided yourself in a structured, commonly used and machine-readable format (data portability).
